JOB BRIEF
The Administrative Assistant will be responsible for supporting USIP’s dialogue and rule-of-law projects in Libya, including liaising with field staff and local partners and budget and contract management activities. The Administrative Assistant serves as the lead on administrative support for the projects. The Administrative Assistant will work closely with the Sr. Project Officer and Program Officers, and other colleagues across the Libya and North Africa Team based in the Field and HQ offices. This is a full-time position based in Tunis, Tunisia, with some international travel required.
This position is open to Host Country Nationals and legal residents in Tunisia. Hiring for this position is contingent upon funding availability.
RESPONSIBILITIES
• Plan project-related travel for Libya partners and project participants as well as Washington-based and local USIP staff in the Middle East and North Africa for Libya projects;
• Submit to the finance team the invoices resulting from the Libya Team’s trips and activities for review and payment;
• Manage project expenditures and disbursements following approval from Project Officers or other project team members;
• Maintain Libya project contract and payment records and alert the relevant team members when deadlines are approaching;
• Coordinate project-related meetings, events, etc.;
• Take notes at weekly meetings and maintain records;
• Coordinate the information flow in the Libya team and internal communication to staff as required;
• Track reporting deadlines for Libya projects and alert the relevant teams when deadlines are approaching;
• Maintain the Libya team’s external contacts lists;
• Keep the Libya Program’s external documents updated with relevant programmatic information;
• As assigned, attend internal and external meetings to gain knowledge of projects and plans and to follow through on all requests.
Performs other duties as assigned.
QUALIFICATIONS
• A bachelor’s degree in management, accounting, or related field is required.
• Two (2) or more years of related experience required.
• Project design, implementation, and monitoring, evaluation & learning skills.
• Experience supporting program administration and management in coordination with teams based abroad.
• Strong time management skills with the ability to prioritize work and meet deadlines.
• Demonstrated analytic, problem-solving, and writing skills in Arabic and English.
• Must have the ability to read and track budgets.
• Must have strong collaboration skills; must have the ability to coordinate the input and priorities of multiple players.
• Must have excellent interpersonal skills.
