Ajwad Almoharekat Company, One of HB Group companies, is looking for a highly skilled “Administrative Assistant”.

The Administrative Assistant must offer support to the workplace as well as the executives of the Company. They will have the responsibility of coordinating administrative activities while retrieving, organizing and disseminating information to staff and clients.

Job Description

  • Oversee all aspects of general office coordination
  • Prepares official letters
  • Maintain confidentiality in all aspects of client and staff information.
  • Interact with clients, vendors and visitors
  • Prepare responses to correspondence containing routine inquiries.
  • Scan, file and retrieve organizational documents records and reports, and other department’s documents if anyone needed assistance.
  • Maintain office calendar to coordinate work flow and meetings.
  • Set up and coordinate meetings, appointments and conferences.
  • Prepare agendas and make arrangements for committee, management or other meetings.
  • Attend management, committee meetings or other meetings as requested in order to record minutes.
  • Arrange travel arrangements for staff and board, including accommodations.
  • Collect and maintain inventory of office equipment and supplies, while liaising with suitable vendors
  • Arrange for the repair and maintenance of office equipment
  • Translate documents, including other department’s documents, from Arabic to English and vice versa

Knowledge & Skills

  • Computer literate and able to use Microsoft Office, Microsoft Outlook and the internet
  • Reputable writing and analytical skills
  • Knowledge of principles and practices of organization, planning, records management and general administration
  • Ability to communicate effectively
  • Ability to operate standard office equipment.
  • Ability to follow oral and written instructions.

 Qualifications Required

  • A Bachelors degree from a recognized university
  • Fluently speak, read and write English and Arabic
  • At least 1 year of experience in general office responsibilities and procedures
  • Must be computer literate
  • Knowledge of principles and practices of basic office management and organization
  • Ability to work well either alone or as part of a team
