Title: Administrative Assistant

Function: Administration

Reporting to: Office Manager

Location: Tripoli – Libya

Responsibilities

  • Handle and coordinate active calendars
  • Schedule and confirm meetings
  • Ensure file organization based on office protocol
  • Provide ad hoc support around office as needed
  • Updates correspondence, runs reports, and files, types, and answers phones. Assists with business support activities such as digital communications, payroll, personnel action forms, travel logistics.
  • May provide duties supportive of functions such as Finance, IT, HR, Facilities, etc.
  • Responsible for the day-to-day office operations. Maintains the office environment by organizing office operations and procedures; managing vendor interactions; controlling correspondence; monitoring building appearance and coordinating building activities.
  • Assists with programs/projects including registration, scheduling presenters, food & beverage, collating program materials, etc.
  • Makes simple travel arrangements with specifications; may submit for travel reimbursements. Schedules appointments, routine meetings, and locations and maintains electronic calendars based on specific instruction.
  • Cooperate with procurement/ purchasing department on setting up contracts with office supplies suppliers
  • Welcomes guests and customers by greeting them, in person, via email or on the telephone, answering or directing inquiries.
  • Preparing letters, reports, memos, other documents required
  • Answering phone calls and directing them to appropriate parties or receives and forwards messages
  • Reviewing and analyzing incoming memos, letters, submissions and reports to determine their significance and correct distribution.

Qualifications

  • Bachelor’s degree or equivalent experience
  • One or two years of experience in a similar role in an international environment
  • Ability to manage multiple and changing priorities simultaneously
  • Good computer skills including Word, Excel, MS Outlook, PowerPoint, Adobe.
  • Good typing and keyboard skills. Familiarity with administrative processes.
  • Attention to detail and high level of accuracy.
