Title: Administrative Assistant
Function: Administration
Reporting to: Office Manager
Location: Tripoli – Libya
Responsibilities
- Handle and coordinate active calendars
- Schedule and confirm meetings
- Ensure file organization based on office protocol
- Provide ad hoc support around office as needed
- Updates correspondence, runs reports, and files, types, and answers phones. Assists with business support activities such as digital communications, payroll, personnel action forms, travel logistics.
- May provide duties supportive of functions such as Finance, IT, HR, Facilities, etc.
- Responsible for the day-to-day office operations. Maintains the office environment by organizing office operations and procedures; managing vendor interactions; controlling correspondence; monitoring building appearance and coordinating building activities.
- Assists with programs/projects including registration, scheduling presenters, food & beverage, collating program materials, etc.
- Makes simple travel arrangements with specifications; may submit for travel reimbursements. Schedules appointments, routine meetings, and locations and maintains electronic calendars based on specific instruction.
- Cooperate with procurement/ purchasing department on setting up contracts with office supplies suppliers
- Welcomes guests and customers by greeting them, in person, via email or on the telephone, answering or directing inquiries.
- Preparing letters, reports, memos, other documents required
- Answering phone calls and directing them to appropriate parties or receives and forwards messages
- Reviewing and analyzing incoming memos, letters, submissions and reports to determine their significance and correct distribution.
Qualifications
- Bachelor’s degree or equivalent experience
- One or two years of experience in a similar role in an international environment
- Ability to manage multiple and changing priorities simultaneously
- Good computer skills including Word, Excel, MS Outlook, PowerPoint, Adobe.
- Good typing and keyboard skills. Familiarity with administrative processes.
- Attention to detail and high level of accuracy.
