Summary:
We are seeking a highly organized and proactive Executive Assistant to support our senior executives. Executive Assistant’s responsibilities include but are not limited to managing calendars and working on pitch decks. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Ultimatelv, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Key Responsibilities:
- Providing high-level administrative support to the executive (s) you work for
- Manage and maintain executives’ schedules, including coordinating meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle incoming and outgoing communications, ensuring timely responses.
- Answer and respond to phone calls, communicate messages and information to the executive
- Organize and prepare for meetings, including gathering documents and attending to logistics.
- Take detailed meeting minutes and follow up on action items.
- Assist with the planning and execution of various projects.
- Track project timelines and deliverables, ensuring deadlines are met.
- Arrange domestic and international travel plans, including flights, accommodations, and other needs.
- Serving as a liaison between the executive and other departments or external dartners
- Assisting with special projects, research, and other ad-hoc tasks as needed
- Anticipating the executive’s needs and proactively addressing them
- Maintaining organized filing systems and records management
- Coordinating logistics for company events and meetings
- Providing excellent customer service to internal and external stakeholders
- Prepare travel expense reports and manage reimbursements.
- Ensure the executive office operates smoothly and efficiently.

- Maintain office supplies and manage vendor relationships as needed.
- Handle sensitive information with the highest level of confidentiality and discretion.
- Ensure compliance with company policies and procedures.
Qualifications:
- Education: Bachelor’s degree in business administration, Communications, or related field preferred.
- Experience: More than 10 years of experience as an executive assistant or in a similar role.
- Age Requirement: 35 and above
- Fluent in English and Arabic both oral and written
- Oil and gas experience is an advantage
Skills:
- Exceptional organizational and time-management abilities.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
