Job Title:  Executive Assistant

We are looking for an experienced Executive Assistant to perform a variety of administrative tasks that plays an integral part in ensuring business processes are running smoothly. The executive assistant will provide high-level assistance to the top management, this includes following up departments to ensure processes and operations are on track. Following hiring process, budgeting, facilitating meetings, and managing the workloads of team members in their particular area of the business.

Responsibilities:

Arrange and attend some of the meetings and discussions keeping meeting minutes, task scoring with the relevant appointees

Write and distribute email, correspondence memos, letters, purchasing order, faxes and forms, in addition to business documentation

Coordinate with the Procurement Team and clients for Tenders documentation.

Rack daily tasks and prepare weekly, monthly or quarterly reports, discern requirements and follow up the assigned tasks

Develop and maintain a filing system

Update and maintain office policies and procedures.

Order office supplies and research new deals and suppliers.

Submit and reconcile monthly expense reports.

Act as the point of contact for internal and external clients

handle requests and queries from senior managers

Manage information flow in a timely and accurate manner

Perform procurement duties such as releasing purchasing orders

Process invoices and follow up with clients, suppliers and partners as needed

Support monthly payroll and keep organized records

Maintains accurate and up-to-date human resource files

Providing general office support to other teams

Make travel and accommodation arrangements

Organize and maintain the office filing system

Requirements and skills:

Oil and Gas Experience is an advantage

Knowledge of office management systems and procedures in Oil & Gas services.

Working knowledge of office equipment.

Proficiency in MS Office (MS Excel and MS PowerPoint )

Familiarity with office gadgets and applications

Excellent verbal and written communications skills

Discretion and confidentiality

Excellent time management skills and

Attention to detail and problem solving skills.

Excellent written and verbal English & Arabic communication skills.

University degree, additional qualification as an Administrative assistant will be a plus.

Type of Employment:

Full-Time Jop

 Work Schedule:

Sunday to Thursday, 9:00 to 16:00
