JOB TITLE: Executive Secretary II
DEPARTMENT: Materials & Logistics
REPORTS TO: Head of Department
RESPONSIBLE FOR: None
LOCATION Head Office WORK MODE 8:00-15:30 (5 Days)
OBJECTIVES OF JOB
The purpose of this job is to take responsibility for all administrative jobs concerning the MTL department.
Main duties & responsibilities
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Maintain agenda and assist in planning appointments, meetings, conferences, etc.
- Attend meetings and keep minutes.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
- Handle confidential documents ensuring they remain secure.
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
- Transcribe minutes from meetings.
- coordinate travel arrangements between stakeholders (employee and travel section etc.)
