JOB DESCRIPTION

Position:                                  Logistics Assistant (Fleet & Assets)
Reports to:                              Area Support Coordinator
Supervision of:                        Drivers
Duty station:                           Tripoli, Libya
Travel:                                    10%
Duration and type of contract: 6 months, fixed term contract

Purpose of the job:

The Logistic Assistant will work under the supervision of logistic officer in Tripoli Office. The purpose of the position is to assist in the day-to-day implementation of the logistics functions responsibilities in Tripoli.

RESPONSIBILITIES

Role and Responsibilities:

Generic responsibilities

 

  • Adhere to NRC policies, tools, handbooks and guidelines
  • Ensure that all procurement processes are in compliance with Logistics Handbook, other NRC policies and door requirements
  • Register and/or prepare requisitions, quotations and purchase orders and update status reports
  • Liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment.
  • Receive supplies and ensure that they are in good condition and accompanied with correct documents
  • Update vendor list
  • Distribute/organize transport of material and equipment according to procedures
  • Prepare documents as required by line manager
  • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards & principles within NRC and amongst beneficiaries served by NRC

 

Specific responsibilities

  • Prepare and develop status reports as required by management
  • Ensure proper filing of documents
  • Promote and share ideas for improvement of the support function
  • Maintain asset-tracking documentation, conduct physical checks and ensure completion of handover forms
  • Manage inventory lists
  • Conduct small procurements in accordance with guidelines and assist larger procurements including identifying suppliers, gathering quotations and preparing documentation
  • Conduct daily checks on vehicles, generators and facilities. Arrange scheduled and ad-hoc maintenance.
  • Assist stock and inventory documentation, storage and transportation
  • Maintain and update the logistics Supporting documentation and follow the archiving and securing supporting documentation guidelines for all logistics files
  • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards & principles within NRC and amongst beneficiaries served by NRC

 

QUALIFICATIONS

Requirements:

  • No double job.
  • 1 – 3 years’ experience working in logistics preferably in a humanitarian context.
  • Previous experience from working in complex and volatile contexts
  • Documented results related to the position’s responsibilities
  • Working level of written and spoken English
  • Experience of conducting competitive and accountable procurement
  • Document management experience
  • Experience of managing stock and assets
  • Good IT skills particularly use of email, Microsoft Excel and Word. Experience of Microsoft 365 is an advantage.
