Purpose/Objectives |
The Receptionist is the first point of contact for the Community Center (CC), registering visitors in
logbook, providing basic information on services (i.e. timetable of classes, education activities etc.), organise/schedule appointments for visitors at the centre under the supervision of the Center Manager. Liaison with the relevant focal point for education, protection and to respond to the needs. The CC Receptionist is responsible for supporting the Center Manager in the implementation of secretarial and logistical tasks concerning the access to the Community Center..

Responsibilities/duties: |
– Ensure proper reception and referral to the right staff of beneficiaries and visitors at the CC, including
taking phone calls. The receptionist will collect minimum set of information from the beneficiaries and the visitors approaching the CC; she/he will ensure the full respect of the do not harm principle and confidentiality. · Receiving beneficiaries at the front desk of the CC by greeting, welcoming, directing and announcing them appropriately – keeping visitors’ logbooks. · Registering new comers and scheduling appointments for them for direct service delivery. · Providing basic information about the services offered. · Direct and accompany the cases to the relevant staff in the CC (social workers, lawyer, psychologist, etc.). · Direct children enrolled in the education activities in the right class. · Ensure that all urgent cases are detected and ensure they are being referred directly to the line manager for assessment for possible immediate intervention. · Inform visitors about INTERSOS complaints and response mechanism and its hotline services – providing numbers to be called. · Ensure the reception area is a clean, quiet and well organised area. – Be responsible on: archiving and filing documents; register (protocol) in/out correspondence in the CC. – Answer the CC phone and making phone calls for meetings/appointments; – Liaise with the logistician (upon request/ approval of Activity Coordinator) to update assets list and inventory. – Plan the CC needs (stationary, running costs) and communicate them to the Center Manager, regularly and timely; monitor the work of the cleaner of the CC. – Support the Center Manager in the supervision of the staff attendance and prepare the time sheet or any other HR document accordingly. – Promptly report any security issue at the CC to the Center Manager and Activity Coordinator and Logistics Officer. – Any other task not here listed but necessary to the proper functioning of the CC and reception of beneficiaries and visitors.

Qualification/level requirements
Minimum requirements |
● Hold secondary school certificate ● At least 1 years of professional experience working as receptionist and/or any administrative job ● Good computer skills (proven computer literacy), especially in Word and Excel |
