The ICRC Delegation in Libya has a vacancy for:
Water and Habitat Assistant
The position will be based in the Benghazi Sub Delegation
Main Responsibilities:
- Support to the WatHab delegate with meetings and other activities related to interactions with interlocutors, stakeholders, and others.
- Support to the WatHab delegate in logistical, administrative, and financial follow up of the department.
- Support to WatHab delegate and team in project data management, compiling information for the elaboration of progress reports, project financial updates, and others.
- Support to the WatHab department with project follow up, coordinating with other departments like Logistics, Procurement, Finance, Administration and others.
- General filing and archiving of WatHab documents – hardware and software.
- Program tasks. In coordination with the WatHab delegate, plans, organises and participates actively in meetings with authorities, private companies and humanitarian organizations.
- Accompanies the WatHab delegate to said meetings, interprets, takes minutes of meeting and ensures follow-up.
- Supports the WatHab delegate and team to implement WatHab activities.
- Quality control of reports and MoMs provided by the Engineers and supports them in their reporting.
- Carries out standard secretarial tasks such as making photocopies, destroying documents and managing stationery stocks.
- Assures proper filing of all project documents according to ICRC standards.
- Translates Agreements, Reports, Specifications, etc. upon request.
- Supports field activities of the team as required.
- Answers phone calls, takes messages, and schedules external meetings for the WatHab delegate.
- Coordinates with the other departments in the delegation (Logistics, Finance, Administration and others) in what concerns to WatHab activities.
- Maintains the proper record of leave applications and sends records regularly to HR and WatHab Delegate.
- Supports the department in the organization of workshops and follows up all related administrative issues (internal and external).
- Supports the WatHab delegate with the quality control of Tender documents and Contracts prepared by Engineers.
- When needed, supports the WatHab engineers contacting contractors for the signature of the contracts, to arrange meetings, etc.
- Files and helps keep track of payment documents according to ICRC requirements.
- Helps the Delegate follow up with financial activities according to information received from WatHab engineers and Project Managers.
- Translates all invoices and documents related to his/her work from Arabic to English or vice versa.
- Is aware of the delegation’s objectives and activities.
- Handles general and individual information accurately and with confidentiality;
- Understand the three components of the Red Cross/Red Crescent Movement.
Required background, skills, and experience:
- High school level or University degree in relevant field.
- 1-2 years’ work experience in a similar function.
- Excellent computer skills, including Microsoft Office suite, SharePoint and Outlook.
- Arabic native with good oral and written communication skills in English.
- Rigorous and trustful person.
- Excellent organizational and methodical abilities, sense of initiative and pro-activeness.
- Service-oriented, with a strong sense of priorities and flexibility.
- Very good communication skills.
- Very good analytical skills.
- Management Skills.
- Interest for humanitarian activities (especially ICRC’s).
